Role Security for Content

Role security allows users and administrators to control which users in which roles have read, write and/or view access to content. The access can be set on various items in BI Office including folders, books, business logic, assets and data models. The security can be used in conjunction with data security set on data models directly and functional security options (either through licensing or extended security profiles). Accessing Roles Security

The role security interface is presented in a variety of ways, depending on the targeted item that needs to be secured. For Business logic and assets, the role panel is presented as part of the related dialog box. For (user driven) data models, the roles panel is presented as part of the data modeling wizard.

For content, the roles security is contained on the security tab found in the metadata section of the currently selected item in the Open Page (see orange highlight below).

Roles Listing

The roles listing is comprised of all the roles that a given user belongs to. By definition, users can not assign security rights to roles outside of their own grouping.

Since role assignments require the ability to WRITE changes to the database, its possible that the roles panel is disabled for users who have read access rights only.

To change the rights associated with a given role, users can click the relevant checkbox.

  • Read rights allow users to see the item in their content tree
  • Write rights allow users to see and change both the content and its security settings. You cannot have Write without Read as well.
  • View rights (for publications only) determine if users can see published content produced by the publication template and associated schedules.

Folder Security

Folder security is the same as general content security. However users can elect to set a folder's role settings and then have them propagate down to child objects using the "Propagate Roles" button (red arrow).
